Our client is a start-up company in the field of quantum technology based in Ulm. The company uses the latest developments in quantum physics to apply conventional magnetic resonance imaging (MRI) to study human metabolism better. The most critical applications for hyperpolarised MRI are advanced cancer diagnostics and investigating the effectiveness of therapies shortly after they have begun. The international team includes 40 specialists, product developers and world-leading scientists from ten countries. Due to strong growth, the company is looking for support in the operational area and is looking for an Office Manager (m/f/d) to assist the international team during the daily business.

What will be your key responsibilities:

  • As Office Manager / Team Assistant (m/f/d) you are part of our Business Operations Team. You are an important contact person for our teams for organizational matters and for ensuring a smooth everyday working life for everyone
  • Communicating and contributing openly to making our clients staff and guests feel at home
  • Cooperating with the Director of Business Operations, and ensuring that day-to-day operations run smoothly
  • Supporting the day-to-day administrative business in a fast-paced working environment
  • Supporting the team with organizational processes and tasks
  • Taking care of the company's mail & parcel dispatch
  • Checking the inventory of office supplies and consumables and for the corresponding (New) procurement
  • Supporting the preparation of visits and events with external guests
  • Organizing, office maintenance and repair work if necessary
  • Supporting communication with suppliers and take on sub-tasks within the procurement process
  • Assisting with the inventory of equipment and devices
  • Working with facility management providers in the areas of cleaning, maintenance and catering

What experience should you have:

  • Professional experience as a Team Assistant, Office Manager (m/f/d) or similar
  • Commercial education
  • You know how important it is in your function to keep the other team managers' backs free through your forward-looking way of working and to make sure that the day-to-day business goes smoothly
  • One of your core competencies is a sense of where you are needed and where you can support
  • People person with a solution-orientated mindset
  • Fluent command of German and excellent written and spoken English
  • Experienced in standard software tools (e.g. MS Office, Google Workspace)
  • You have relentless attention to detail and accuracy
  • You pay special attention to meeting deadlines
  • Project management and organizational skills and can set priorities
  • Service orientation is the key essential to your daily work
  • You are trustworthy and reliable when dealing with sensitive, confidential information
